Plain-English guide

Matches & Programs in the app

The plain-English guide — letting players find, join, and pay for a club's matches and clinics, right in the app

In one sentence

Today, Padel Society players can already book a club's courts and coaching from the app. This adds the next two things — open matches and clinics/programs — so players can find them, join, and pay in the very same place.

Why now

Half of it already works

Already works

Courts and coaching already flow automatically between a club's own system and the app — book one place, it shows up in the other, and cancellations stay in sync.

What's missing

Matches and programs don't flow yet. So right now they're invisible to players in the app, and the club has to handle every sign-up by hand.

The shape of it

How it fits together

It's the same connection that already links a club's courts and coaching to the app — we're just sending two more things (matches and programs) through it. Nothing new is invented; we extend what's already there.

The club's system

Setpoint

Where the club creates and manages its matches and programs — spots, price, schedule, waitlist.

OpenRally

the connector

The shared 'language' that already carries courts and coaching between a club and the app. We teach it to carry matches and programs too.

The app

The Padel Society

Where players discover a club's matches and clinics, join, and pay — alongside courts and coaching.

Information flows both ways: the club publishes a match or clinic, players join and pay in the app, and everything — sign-ups, cancellations, spots left — stays in sync on both sides automatically.

The payoff

What everyone gets

For players

  • See a club's open matches and clinics in the app, next to courts and coaching
  • Join and pay in a few taps — the same as booking a court
  • See how many spots are left, and join a waitlist if it's full
  • It all lands in their bookings, with the same cancellation rules they already know

For the club

  • Anyone who joins from the app shows up automatically in the club's system — the right person, at the right price
  • One place to manage spots, pricing, and the waitlist — no second system to keep in step
  • Cancellations and changes stay in sync on both sides, automatically

The catch

One thing to sort out first

Pay-to-join, done right

There's a single piece that isn't finished yet: taking payment when someone joins. Today it can mark a spot as 'paid' the moment checkout starts — before the card has actually gone through. We fix that first, before any real money moves, so no one is ever charged-but-not-booked, or booked-but-not-paid.

It's harmless right now because the club side runs in test mode (no real cards). But the app charges real cards — so this has to be solid before players can join for real.

The plan

How it rolls out — four steps

1

Fix the payment step

Make 'pay to join' rock-solid. Behind the scenes — nothing visible to players or clubs yet.

2

Get the club side ready

Switch the matches and programs features back on and prepare them to be shared. Still hidden from players.

3

Connect it to the app

Wire it up so the app can show a club's matches and programs, and let players join and pay.

4

Turn it on for players

Switch it on gradually — a small group first, then everyone — so we can watch it go smoothly.

Behind the scenes

What gets updated in the database

To make this work, the club's database needs a handful of additions. Every one is an addition only — nothing existing is removed or rewritten, so it's safe to apply to the live system:

  1. 1Let a match exist without a court attached — so club socials and tournaments can be events too, not just court-based ones.
  2. 2Add a way to 'hold' a spot while someone is paying — so the last seat can't be grabbed twice, and a spot only counts once payment clears.
  3. 3Record each person's payment on their sign-up — how they paid and a reference back to it.
  4. 4Link an event to the program or coaching session it belongs to — so they stay connected and mapped together.
  5. 5Add a proper 'waiting list' status — so a paid-but-not-yet-confirmed sign-up isn't mistaken for a real waitlist spot.
  6. 6Add 'event' to the list of payment types — so money from matches and programs shows up correctly in the club's books.
  7. 7Switch on the automatic 'announce to the app' feed for events — the same way bookings and lessons are already announced.
Additive and reversible only — no risky changes to existing data.

Over to you

What we need you to decide

  • Take real card payments from day one, or keep the club side in test mode for launch?
  • Launch matches and programs together, or matches first?
  • Should a clinic be able to have a waitlist when it fills up?
  • Green light to switch these two features back on (they're currently turned off)?
